Important Notes

• • 1. Package Validity - The quoted package price is based on current airfare, hotel rates, exchange rates, and minimum group size. Prices are subject to change without prior notice until full payment is received.
• • 2. Minimum Group Size - This group departure is valid for a minimum of 25–30 passengers. In case the minimum group size is not met, the departure may be rescheduled or repriced. Passengers will be informed at least 30 days prior to departure and offered an alternate departure date or applicable refund.
• • 3. Visa Approval - Schengen visa approval is solely at the discretion of the respective consulate / embassy. Submission of documents or payment does not guarantee visa approval.
• • 4. Visa Rejection / Delay - In case of a Schengen visa rejection, visa and service fees are non-refundable, applicable cancellation charges will apply to refundable package components, and visa approval is solely at the consulate's discretion.
• • 5. Airfare & Taxes - Airfare is dynamic and subject to availability at the time of booking. Any increase in airline surcharge, airport taxes, fuel surcharge, or government levies will be borne by the client.
• • 6. Hotel Accommodation - Hotels mentioned are subject to availability. In case of unavailability, hotels of similar star category, location, and meal plan will be provided.
• • 7. Coach & Transfers -The tour will operate on a Luxury Deluxe Coach. Seating arrangement in the coach will be rotational unless specified otherwise.
• • 8. Attraction Availability - Attractions such as the Eiffel Tower, Vatican Museums, Colosseum, Disneyland Paris, Mt. Titlis, Venice Gondola, and Rhine Falls Boat Ride are subject to operational schedules, weather conditions, maintenance closures, and slot availability. In case of closure or unavailability, a suitable alternative experience will be provided wherever possible.
• • 9. Meals - Meals will be served as per itinerary. No refund will be provided for missed meals due to late arrival, delays, or personal reasons.
• • 10. Room Allocation - Standard room category will be provided. Triple-sharing rooms in Europe may consist of a double room with an extra bed, sofa bed, or rollaway bed, which may be smaller than standard bedding.
• • 11. Travel Insurance - Travel insurance coverage is subject to policy terms and conditions. Coverage, exclusions, and claim settlements are governed by the insurance provider. Claims, if any, must be handled directly with the insurer.
• • 12. Optional / Missed Sightseeing - No refund shall be provided for any missed sightseeing due to weather, traffic, flight delay, illness, operational restrictions, or personal reasons.
• • 13. Luggage Allowance - Guests must adhere to airline baggage policy. Excess baggage charges, if any, must be paid directly by the passenger.
• • 14. Payment Terms - Booking confirmation is subject to advance payment as per payment schedule. Full payment must be completed before visa submission / ticket issuance.
• • 15. Tour Changes - The company reserves the right to alter itinerary, hotels, routes, or sightseeing due to operational requirements, weather conditions, strikes, governme62:78nt restrictions, or force majeure events.
• • 16. Personal Responsibility - Passengers are responsible for safeguarding passports, visas, money, luggage, and personal belongings throughout the tour.
• • 17. GST & TCS - 5% GST and 2% TCS are applicable as per current Indian government regulations. TCS is an advance tax deposited under the traveler’s PAN and can be claimed while filing Income Tax Return (ITR). Any future tax revision will be charged extra.
• • 18. Early Bird Offer / Price Validity - Quoted price is valid only for a limited booking period or until inventory lasts.
• • 19. Tour Manager Authority - Decisions made by the Tour Manager during the trip regarding safety, timing, and group coordination must be followed by all passengers.
• • 20. Emergency Assistance - Bayard Vacations will provide dedicated emergency contact details and tour manager contact before departure for 24/7 assistance during the tour.
• • 21. Payment Schedule
• • • Booking Deposit: ₹50,000 per person at the time of registration.
• • • Second Installment: 50% of the remaining balance at the time of visa submission.
• • • Final Payment: Balance amount to be paid 45 days prior to departure.
• • 22. Cancellation Policy
• • • 60+ days before departure: INR 10,000 per person
• • • 45–59 days before departure: 25% of the package cost
• • • 30–44 days before departure: 50% of the package cost
• • • 15–29 days before departure: 75% of the package cost
• • • 0–14 days before departure: 100% of the package cost
• • • Non-refundable bookings: 100% cancellation charges will apply.
